How to use WebAtlante

Log in & Profile

Welcome to the WebAtlante log in page. Enter your assigned username and password to log into your own personal account. What you see here is the dashboard, a quick access to your monthly activity calendar. You can skip through different months using these arrows on the right side of the screen.

Clicking on the SHIFTS CALENDAR button will take you to a monthly representation of your shifts. This one is particularly helpful to employees who work in shifts and extremely useful for businesses like restaurants, hotels, retail stores and even hospitals. Scheduling shifts this way would eliminate shift conflicts between staff members and avoid staff shortage on the busiest working days.

Another module is the ME module which is in other words your personal profile. This module contains relevant employee related information such as name, email, insurance numbers,…, job position and your immediate superior who you report to. This last one is very important for establishing the company’s hierarchy.

Then, there is a specific section for your contact and emergency contact information and another one for any groups or teams you might have been assigned to. As you see the module contains a full database of your data for the employer to view and update anytime they need. This is the end of the tutorial. Timesheets & Attendance

Click on the Timesheets icon to view your own weekly timesheet. This is where you’ll find a weekly view of your attendance and working hours.

As you may know WebAtlante system is paired with an integrated attendance capturing device. Employees are supplied with a badge which they have to scan on the device every time they go in and out of the office. The information captured will appear on this module. This enables monitoring and tracking the employee’s punctuality and attendance.

It shows the exact times you have checked in and out of the office as well as the total number of hours at the end. You can navigate through the past weeks sheets using the navigation arrows. Alternately you can select a starting date here, click submit and it will take you directly to the specific timesheet.

Authorisations

Authorisations is the area employees can access to request Authorisations for time off anytime, anyplace, instead of calling the HR department with routine inquiries. It tracks several leave types such as casual, annual, sick etc., and helps the employer decide how the leaves should be allocated, applied and used. It is a very cost and time efficient solution.

To create a new request click on the plus (+) sign on the top left of your screen. A small window titled Request Authorisation will appear. Select your permission type (Holidays, Illness, Travel etc.), start and end date, start and end time and fill in the note section with a short summery of your request. Check the advanced option checkbox if you wish to exclude any day of the week from your leave. Otherwise you can leave it unchecked. Click OK and the newly created request should now appear on the list with a Pending status.

At this point, it will have to be Agreed or Disagreed by your supervisor. If they disagree that means your request has been definitively denied. On the other hand, if they agree, it will have to go through the second stage called Approval during which your 2nd level supervisor will have to Approve your 1st level supervisor’s decision. Only then, your request will have definitively become approved. Once approved/rejected/agreed/disagreed, the status will change to inform you of the decision made.

You can search through the list of your requests using the search box on the top right of the list and you can adjust the number of entries shown in 1 page here on the top left of the list. Here on top you can also search by the status, start and end date.

Tasks & Projects

The Tasks module allows for the employees to create and track their own tasks and projects or assign them to team members. It is a place where the whole team can stay connected and up-to-date with project progress.

In the Task/Assignee section you will be able to find all the tasks that have been assigned to you, whilst on the Task/Author section you will find all the tasks that have been created by you. You can search through the list of your tasks using the search box on the top right of the list and you can adjust the number of entries shown in 1 page here on the top left of the list.

To create a new task click on the plus (+) sign on the top left of your screen. This will take you to a new page titled New Task. Select the Tracker, Assignee, Priority, Status, Activity, Project and fill in the start and due date and estimated hours. Then proceed to write the status and a note regarding the task you are creating. In the end you can use choose a file or document from your computer to attach to the task. Click Save and the newly created task should now appear on the list. To update or edit a task click on the “pencil" icon. You can make any changes you like regarding the details of the task as well as update your progress with the task.

To go to Projects click on the Task icon and select Projects from the drop-down list. In this section you will be able to find a list of projects you have been assigned to. You can search through the list of your tasks using the search box on the top right of the list and you can adjust the number of entries shown in 1 page here on the top left of the list.

To create a new project click on the plus (+) sign on the top left of your screen. A small window titled Add Project will appear on the screen. Enter the project name and details and click save. The new project should now appear on the list. Here too you can edit an entry using the “pencil" icon.

Expenses

To view your list of expenses click on the Expenses icon on top of the page. Employees can use this area to enter work related expenses for which they need to be reimbursed. This allows for more accurate accounting and more timely reimbursement. Users can submit their expense reports on any iOS, Android or web-based device.

To create a new expense entry click on the plus (+) sign on the top left of your screen. Select the Type of Expense and A small window titled Add New Expense will appear on the screen. You can upload your receipt, enter the date, amount, currency and a description of the expense. Then select the payer, receipt type and expense type. Check the Foreign Expense box if the expense has been on a foreign country. Click Save and the newly created expense should now appear on the list.

You can make additional changes to an existing entry using the “pencil” icon or you can connect it to a corresponding travel entry clicking on “eye” icon. Your reimbursement request will then need to become approved and reimbursed by the employer.
You can search through the list of your expenses using the search box on the top right of the list and you can adjust the number of entries shown in 1 page here on the top left of the list.

Travel

To manage work-related travel plans go to Travels by clicking on the icon. In this area you can handle your travel and expense activity. It allows for an easy and efficient planning and approval by your employee. It can easily be accessed from any iOS, Android or web-based device.

This is your own list of planed Travels created by your supervisor. By clicking on the pencil icon you can view all the details regarding this particular entry. You can also add related expenses, select the Type of Expense, upload your receipt, enter the date, amount, currency and a description of the expense. Check the Foreign Expense box if the expense has been on a foreign country. Click Save and the newly created expense should now be attached to the travel entry.
